Macnica, Inc. and its group of companies (hereinafter referred to as "the Company") is conscious of its important duty to carry out proper management of large volumes of personal data regarding the users of the Company’s Zipteam service (hereinafter referred to as “the Users”). The Company is continually employing measures to protect personal data based on the following Privacy Policy.
- The Company has established internal rules and regulations with respect to protection of personal data. These rules, as set forth in the Company's employee manual, are intended to educate and train all Company employees and service providers in this area. In addition, the Company's policy to enforce security measures is well-known and understood by its employees and service providers.
- When the Company requests personal data from any party, the use of such data will be clearly defined, and the Company will seek to limit both the extent of personal data obtained and the scope of its use in accordance with the purpose for which it is requested.
- The Company's security measures are intended to limit the risk of unauthorized access to personal data (including loss, destruction, alteration or leak of any personal data) and to comply with applicable laws and regulations. The Company continuously strives to improve its program to protect all personal data.
- Together with complying with the laws relating to personal data and other regulations, the Company is continually improving its personal data protection program.
- The Company has established a User service center to address complaints and inquiries from Users regarding personal data and its personal data protection program.
- The Company acquires the following personal data from the Users:
- Data to be input by Users to use the Company’s services
- User Account information: E-mail address, password, name, Workspace name, preferred language, time zone and other system settings of Users.
- User profile information: Profile, title, location and Website of Users.
- Skill information: Skill information of Users, skill of a User recommended by other Users, and skill recommended by other Users.
- Contents: FAQ created, learning contents shared, and contents liked, by Users.
- Chat records: Name of chat-partner Users, date, topic, “Time spent” and “Time saved” that are input by Users in chat records.
- Other information: Information in user lists created by Users, search terms.
- To provide the Company's products and services to the User
- To introduce the Company's products and services to the User
- To invite the User to attend seminars and exhibitions held (hosted, co-hosted, supported or sponsored) by the Company
- To respond to inquiries or requests from the User
- For such other purposes as may be agreed by the User and the Company prior to the Company's acquisition of such personal data
- The Company shall process Users’ Personal Information as per the Company’s contractual relationship with the Users, in the meaning of art. 6.1 b GDPR .
- prior consent of the User is obtained, or
- it is necessary to provide such data to the manufacturer or supplier of products related to the User's order (including without limitation in connection with maintenance service agreements for products delivered to the User or license agreements for software products delivered or made available to the User), or
- the User has consented that the Company may outsource work to a third-party vendor whose work complies with standards established by the Company, and
- such disclosure is made in accordance with applicable laws and regulations.
- As the Company is based in Japan, the Company securely process Users’ personal data in Japan. On January 23, 2019 the European Commission has adopted an adequacy decision on Japan, allowing personal data to flow freely between the two economies on the basis of strong protection guarantees.
- Users are entitled to the following data protection rights:
- The right to access – Users have the right to request the Company for copies of Users personal data.
- The right to rectification – Users have the right to request that the Company correct any information Users believe is inaccurate. Users also have the right to request the Company to complete the information Users believe is incomplete.
- The right to erasure – Users have the right to request that the Company erase Users personal data, under certain conditions.
- The right to restrict processing – Users have the right to request that the Company restrict the processing of Users personal data, under certain conditions.
- The right to object to processing – Users have the right to object to the Company’s processing of Users personal data, under certain conditions.
- The right to data portability – Users have the right to request that the Company transfer the data that we have collected to another organization, or directly to you, under certain conditions.

- Some of the Company's web pages use cookies and/or web beacons to provide better service to Users. Cookies are text files placed on Users computer to collect standard Internet log information and visitor behavior information.
